General Procedures

Taking on an Intergroup position

When you take on an Intergroup position, send an email to the webmaster@triangleoa.org with your name, phone number and the position you have taken in Intergroup. The webmaster will add your email to the Intergroup list serve and associate your email address with the position you have taken. For instance, if you have agreed to be the Group Outreach chair, any emails sent to groupoutreach@triangleoa.org will be forwarded to you. If you are going to be the person that receives newsletters for your group, send your mailing address to the webmaster@triangleoa.org and to newsletter_liason@triangle.oa.org. The webmaster maintains the master list and the newsletter_liason uses the address when sending mail for the group you attend.

There are three ways to take on an position in Intergroup.

  1. Another person just stepped down and is available to train you. Ideally while the person was doing the job and sent any updates to the Vice Chair for the policy and procedures document for the position and you review it together. The member leaving answers your questions and trains you for the position. During the course of your time in the position you add your updates to the document so someone take over for you easily.
  2. No one has been in the job recently when you start. Ideally the Vice Chair will give you the section of the policy and procedures document for your new position and it has enough information for you to take care of the Intergroup business. If the vice chair doesn't contact you, send an email to vice_chair@triangleoa.org. During the course of your time in the position you add your updates to the document so someone take over for you easily.
  3. It is a new position. Ideally the Vice Chair will review the policy and procedures document and bylaws with you and you will create a section of this document to guide people that come after you. Ideally you will train the next person for the position.

Reporting to Intergroup and Document Types

The Intergroup does not require electronic reports or printed documents however whenever these are very valuable historically as reference documents and many are put on the Triangle OA website for reference and future use. We recommend reports, flyers for the web documents be saved as PDF files because these are becoming universally accepted as a business standard are reduce the chances of editing after posting.

We also recommend that reports for the Intergroup be sent via email to intergroup@triangleoa.org before the meeting (and to webmaster@triangleoa.org or will that happen if we put webmaster as Intergroup?.)

Leaving an Intergroup Position

We request that you tell the Intergroup if you can no longer perform a job, coordinate with the vice-chair to update any information about your work in the appropriate documents, and if a new person takes over your position, train them. The webmaster will remove your address from the forwarding email for the position and change the Intergroup mailing list to remove the position from your name. If you want you can unsubscribe from the Intergroup mailing list by sending a note to Intergroup-leave@triangleoa.org. You do not need a subject or text.

Advertising Events

Via the Newsletter

Send your event information via email to newsletter@triangleoa.org. The newsletter editor has to send the newsletter to printer no later than the Thursday morning before the Intergroup Meeting on the third Saturday of the month. If there is a holiday on Thursday or Friday, the newsletter has to be ready even earlier. The newsletter editor may not be able to accept last minute changes so the sooner you send information to the editor the more likely it will get in the next newsletter. A rule of thumb is to get your event or change into the newsletter the first week of the month so that it can be in the newsletter available on the third Saturday of the month.

Put the date, time, location and contact information for the event.

The newsletter editor is responsible for deciding what goes into each month’s newsletter and is responsible for making any changes necessary to the information.

Send your event information via email to an webmaster@triangleoa.org. Put the date, time, location and contact information for the event. The webmaster will post the information on the main web page and as an event in the event calendar. You are welcome to recommend other places for the event or information.

HOW TO ADD EVENTS TO SOAR8 CALENDAR

All online postings of upcoming workshops, retreats, marathons, etc., must be approved in advance by the SOAR8 Vice Chair. All flyers must bear the OA Logo.* Send an email with your attached flyer to the vicechair@oaregion8.org.

Fund Raising

The Triangle Intergroup and/or the groups may participate in fund raising activities to support our primary purpose. Sometimes members are asked to participate in SOAR or OA World Service Fundraise's. The traditions guide our fund raising efforts.

Updating Meeting Notices

When a group adds, changes, or removes a meeting, please send the updates to updates@triangleoa.org. This will cause the email to go to newsletter@triangleoa.org and to webmaster@triangleoa.org and to public_info@triangleoa.org and to treasurer@triangleoa.org and groupoutreach@triangleoa.org. The newsletter editor will change the list of meetings in the newsletter.

Types of changes in meetings.

  1. A new meeting.
    1. It will need to be added to the list of meetings.
    2. It will need an Intergroup rep.
    3. It will need a visit from group outreach.
    4. It will need to be announced in the newsletter on our website at the Intergroup at other meetings.
    5. It will need information on resources available – for treasurers, Intergroup representatives.
    6. It will need to be registered with OA and get a group number.
    7. It will need to be added to the treasurers report.
    8. The phone line meeting list needs to be changed.
  2. A meeting that closes.
    1. OA world will need to be notified so the group is not advertised on the world.
    2. The newsletter and website (meetings and meeting table) need to have the meeting removed.
    3. The meeting needs to be removed from the treasurers report.
    4. Any resources left from the group need to be distributed to the Intergroup or other meetings.
    5. The phone line meeting list needs to be changed with the meeting removed.
    6. A meeting changes times, places, focus. OA world will need to be notified with the new information.
    7. The newsletter (meeting list and notice in the newsletter) and website (meetings and meeting table and a notice on the main page ) need to have the meeting information changed.
    8. The meeting needs to be removed from the treasurer’s report.
    9. Any resources left from the group need to be distributed to the Intergroup or other meetings.
    10. The phone line meeting list needs to be changed with the new information

Intergroup Meetings

The Intergroup meets on the 3rd Saturday morning of the month from 10-12. A break is called after the 7th tradition, usually about 11 am. The Intergroup meeting location is paid for by the Intergroup and in every monthly IG meeting, money is collected for the seventh tradition. The suggested donation is at least $3.00. This helps pay for the rent of the facility. Normally IG representatives contribute from their own funds because they value the opportunity to support their own recovery. The Dixie Trail Church rent is approximately $30 a meeting and a donation of at least three dollars per member per meeting would cover the rent for the meetings. Most meetings are held at Community Church of Christ on Dixie Trail. Periodically the Intergroup meets at another location so that more people can attend the Intergroup meeting. The Triangle Intergroup has member groups throughout eastern and central North Carolina and coordinates with other intergroups in Greensboro and Charlotte where possible. The Intergroup pays for the rent for the traveling meeting but does not normally pay for the difference in travel costs to the new location for Intergroup members. Getting the mail forwarded.

The webmaster maintains a list of forwarding addresses for Triangle Intergroup. It is critical to effective communications that the group representatives, board members, committee chairs and people serving in other positions for Triangle OA Intergroup send an email to the webmaster at the beginning of a term of service. The webmaster will put your email address on the Intergroup mailing list and forward any mail sent to your position to your email address.

Send the email to the webmaster with the what position or committee you are serving on, your name and phone number. If you are a group representative you will also be subscribed to your group's mailing list and a note sent with directions for other members of your group to join the mailing list. More than one person can receive mail for a position. Our policy is to have the current and former responsible person for a position receive email during the transition. Committees can also uses the email address so that all members of the committee receive any mail for the committee.

Group Mailing Lists

Triangle OA Intergroup maintains a mailing list for each group. The use of the lists is optional. They are intended to facilitate communications between people in OA at the group level and for the Intergroup rep to pass on information from Intergroup by email. The naming convention for a group email list is CityMeetingDayofWeekTimeofDay. The time of day can be AM, PM or MID. For instance raleighthursdaypm, aberdeensaturdayam, durhamtuesdaymid, chapelhilltuesdaypms (for spanish) In order to join a list, send an email to the NameofList-Join@triangleoa.org. You should get an email back inviting you to subscribe. Check your junk mail folder if you don't see a message. Setting up a Remote Speaker meeting

This is a new form of speakers meeting where the speaker is present by audio/video. Anonymity is protected as this is a secured venue set up by SOAR8. The Web Tech Chair for SOAR8 can assist with this. The equipment needed is {filled in by Patrick}
