Purpose

The Regional Representative of the Triangle OA Intergroup is a board member and the responsibilities are defined in the bylaws. Responsibilities for All Board Members and in Regional Representative Responsibilities. The Regional Representative represents the Triangle OA Intergroup at the Southeast Overeater's Anonymous Regional Business assemblies.

Recommendations for Regional Representatives

Triangle Intergroup is a member of OA Region 8 (SOAR), along with inter groups in the following geographic regions: Alabama, Arkansas, Caribbean, Central America, Florida, Georgia, Louisiana, Mississippi, North Carolina, South America, South Carolina, Tennessee.

Involvement in SOAR8 ensures that our local OA members voices are heard. Decisions made at the Regional level have a ripple effect through our local meetings and OA as a whole. Read the section for new regional representatives in Policy and Procedures Manual and the Manual for new representatives (Are these the same?)

The Triangle Intergroup chair must fill out, sign and return the SOAR certificate of eligibility each year for the regional representatives.

There are three business assemblies to attend each year. These Assemblies involve at least one partial day and one full day of meetings 3 times per year in mid March, July, and November. The location of the assemblies is known a year in advance. At the end of each assembly, the location for the next year's assembly is chosen based on bids presented by competing intergroups. Bids are voted on by the assembly delegates.

It is your job to register for each of the assemblies, plan for your travel, lodging, food and transportation costs to these assemblies, to participate in the business of the region and participate in the committee you have been assigned to.

Communicating the concerns of Triangle OA Members at Assemblies is one of the responsibilities of participating in the assembly for the SOAR representative.

What is an assembly like?

There are three business sessions at the assembly: one on Friday night lasting approximately 3 hours; one Sat. morning lasting approximately 3 1/2 hours, and the final one on Saturday afternoon, lasting about 3 - 4 hours. There are recovery events and workshops occurring simultaneously with the business assembly, and the delegates are free to attend these workshops if they do not conflict with business meetings and most of them do conflict.

Registering for an Assembly

Go to the http://www.oaregion8.org/index.html , the region 8 home page or events page and get the forms or register on line. Register as soon as possible to keep registration costs down. Assemblies offer a lower rate to register early.

Reporting on the Assembly

Delegates take notes at the sessions to share with the Intergroup. The SOAR secretary also records the proceedings, but the delegate reports can be reproduced and shared much

It is important to take notes of pertinent decisions made during the assemblies and to share this information on the local IG level following each assembly.

The report for each assembly is given at the Intergroup meeting after the assembly. Send an email with the report to Intergroup@triangleoa.org before the meeting and one to the webmaster@triangleoa.org. Print copies of the report as you think appropriate for the Intergroup meeting.

Food at Assemblies

The Intergroup pays for a meal plan if one is provided by the hosting Intergroup, which includes breakfast on Sat. and Sun., the Saturday lunch and the Saturday night banquet.

Meal Allowance

Regional Representatives shall receive meal reimbursement for expenses incurred during the dates of their service and during the dates of their service and during travel dates to and from the service destination. Maximum daily rates of reimbursement are: Breakfast - $25.00
Lunch $25.00
Dinner $30.00

Note: The above meal allowance was approved during fall 2018 and superceeds any earlier polocies.

Meal plans provided through the hosting IG will be reimbursed in full even if they exceed the aforementioned rates of reimbursement. Receipts and a written request for travel meal reimbursement should be submitted to the IG treasurer.

Registering for the Assemblies (Where/How)

There is a registration fee for the SOAR8 assembly, usually around $35 for early registration. Late registration is usually around $50. Intergroup reimburses the delegate for registration.

Work on a SOAR Committee

Each SOAR delegate is assigned to one of 7 standing committees (SOAR 8 Standing Committees) by the SOAR 8 board. When attending an assembly as a representative fill out the Region 8 committee selection form to indicated committee preferences. This is used to assign representatives to a committee for the assembly (or for the term of service?)

Attend the meetings for the committee at the assembly and monthly by phone. The decisions made within these committees are shared with Triangle Intergroup.

How do you find roommates?

Make time to communicate with the other SOAR representative.

It is up to the SOAR representative to distil what is important at SOAR that should be communicated with the Intergroup and the member groups. Current Issues for SOAR representatives. Deciding what to communicate to the Intergroup, whether or not to share the official report or to create individual reports, how to get that information to the member groups more effectively and how to share more effectively and efficiently between Triangle OA Intergroup members.
